The Situation
The homeowner had applied for a fence permit through Orange County’s FastTrack portal twice. Both times, the application was returned at intake before any plan reviewer ever opened the drawings.
FastTrack is one of the most efficient building permit portals in Florida. It is also one of the strictest about submission formatting. The portal checks file names at intake before routing applications for review.
Submit a file named “SitePlan.pdf” or “FencePlan_John_2026.pdf” the system returns it as non-conforming. No reviewer sees it. No comment is issued. It simply comes back to you as rejected, with a note about file naming.
The homeowner had tried twice with DIY plans. Two rejections. No feedback on the actual drawing content just the file name.
What We Did
Orange County FastTrack has a specific file naming convention that specifies the document type prefix, permit type code, and version indicator. We have prepared plans for FastTrack hundreds of times. We know the naming convention by memory.
We prepared the fence site plan:
- Property boundaries with dimensions labeled
- Fence line shown on all sides rear and both side yards
- Fence height labeled: 6 feet rear and side, 4 feet front (Orange County front yard height limit)
- Gate locations marked with swing direction
- Corner lot sight triangle noted (this property was not a corner lot, but the notation confirming its absence is required)
- Utility easement along rear property line shown and fence confirmed to not encroach
- No pool on this property no F.S. 515.29 notation required
File named to FastTrack specification. Correct document type prefix, correct permit type code, correct version indicator. PDF layer structure checked against FastTrack requirements.
Plan delivered in 12 hours.
The Result
Application accepted at intake on first submission. Reviewer approved with no comments.
The lesson: Orange County FastTrack is not rejecting your drawing it’s rejecting your file name. A correctly formatted file name is worth more than a perfectly drawn plan if the plan never reaches a reviewer.
